Job Summary
The College of Human Sciencesis excited to recruit candidates for the Academic Programs Administrator position!

Study Abroad:
-Coordinate with Auburn Abroad, the Office of International Programs, and CHS Faculty and Staff to ensure compliance with all procedures necessary for study abroad programs. -Inform students about the specifics of study abroad programs and which program will best suit their course of study -Manage student lists and wait lists for the Joseph S. Bruno Auburn Abroad in Italy Program -Maintain files for individual study abroad opportunities, including applications and billing spreadsheets and resolving issues related to the administration of these programs, interacting with Auburn Abroad for billing and registration of students for their chosen study abroad program -Ensure that students are aware of when they have been billed and when their bill should be paid; handling confidential information related to the office's programs and exercising discretion in the disclosure of this information; maintaining student files and information in compliance with FERPA regulations

Administrative: -Provide administrative support to the Director of Global Education, including proofreading documents for accuracy and grammar -Assist with record keeping and data gathering for accomplishments and assessment reports -Manage student information for the Master of Development Practice Program, Global Studies in Human Sciences major, the International Minor in Human Sciences, and all other academic credit earned through study abroad opportunities in conjunction with the College of Human Sciences' Office of Academic Affairs -Interact with international vendors -Assist the Director of Global Education with job functions related to academic programming, student clubs, University and College Committee service, Donor and Alumni relations, and travel.


Financial: -Ensure all program accounts are billed correctly-Assist facility with filing travel reimbursements according to AU Policies and Procedures -Assist CHS Facility and Staff with reconciling accounts both before and after travel -Reconcile and balance accounts for the Office of Global Education, and coordinating with the College of Human Sciences Director of Business and Financial Administration as needed -Shepherd vendor payments for all programs through final payment.


Recruiting and Promotion: -Assist with the promotion and marketing of the Master of Development Practice, B.S. in Global Studies in Human Sciences, International Minor in Human Sciences, all study abroad programs and Global Education initiatives through internal news stories, class visits, study abroad fairs, and other promotional events; handling office social media presence and web content -Maintain inventory of promotional materials



Note that international travel may be a component of this position.

Essential Functions


  • Plans, designs, develops, executes, and/or manages strategies and programs for academic related programs/groups/services (may assist in this function rather than be solely responsible in the lower level jobs of the family).

    • Assists program head with a variety of high-level administrative/professional program support responsibilities.
      • Coordinates program/services activities to ensure relevant guidelines, specifications, policy and/or procedures are enforced and followed.
        • Provides information to and facilitates communication between administrators, faculty, staff, and students concerning program/services.
          • Maintains relevant databases to ensure accurate and accessible records.
            • May coordinate and organize courses/classes to include activities such as student registration, room scheduling, and ensuring appropriate equipment is available.
              • Monitors budget and grant funding and ensures expenditures are within specifications and in line with spending projections; may research, write, submit, and/or administer grants and proposals for submission.
                • Prepares, reviews, and edits an assortment of communications through various media outlets.
                  • Plans and implements the management of resource development activities.
                    • In support of the Study Abroad Program, domestic and international recruitment travel may be expected and/or attend regional and national conferences.







                      Minimum Qualifications




                      Minimum Qualifications

                      Education and Experience:
                      Level I: Bachelor's Degree from an accredited institution in Business Administration, Marketing, Journalism, Public Relations, Human Sciences, International/Global Studies, or a related field.

                      Level II: Bachelor's Degree from an accredited institution in Business Administration, Marketing, Journalism, Public Relations, Human Sciences, International/Global Studies, or a related field plus 2 years of experience in project or program administration.

                      Level III: Bachelor's Degree from an accredited institution in Business Administration, Marketing, Journalism, Public Relations, Human Sciences, International/Global Studies, or a related field plus 4 years of experience in project or program administration.

                      Substitution for Education:
                      When a candidate has the required experience, but lacks the required education, they may normally apply additional relevant experience toward the education requirement, at a rate of two (2) years relevant experience per year of required education.
